  • shortlisting decisions;
  • role suitability observations;
  • availability, expected start date, or work preference information.

If the video interview is conducted through a third-party platform such as XInterview, the platform may also collect technical information such as:

  • login or access time;
  • completion status;
  • IP address;
  • device or browser details;
  • camera and microphone access status;
  • upload or recording status;
  • technical logs related to the interview.

The exact information collected may depend on the platform settings and the role you have applied for.


4. Why We Collect Candidate Information

We collect and use candidate information for recruitment-related purposes, including:

  • reviewing your application;
  • assessing your suitability for a role, internship, or opportunity;
  • conducting preliminary video interviews;
  • evaluating communication skills;
  • evaluating technical awareness;
  • assessing AI tool knowledge, prompting ability, research ability, and learning mindset;
  • assessing English and Malayalam communication skills where relevant;
  • comparing candidates fairly and consistently;
  • shortlisting candidates for the next round;
  • contacting you about interview updates or next steps;
  • verifying information where necessary;
  • maintaining recruitment records;
  • improving our hiring process;
  • meeting legal, administrative, or compliance requirements.

We will not use your video interview or candidate information for public marketing or promotional purposes without your separate permission.


5. Video and Audio Interview Recordings

As part of our preliminary interview process, you may be asked to submit recorded video and audio responses through XInterview or another interview platform.

By continuing with the interview, you understand that:

  • your video and audio responses may be recorded;
  • your recorded answers may be reviewed by authorised Animations Media team members;
  • your responses may be assessed for communication, clarity, technical awareness, confidence, attitude, and suitability for the role;
  • your responses may be compared with other candidates applying for the same or similar roles;
  • your interview may be stored for recruitment and record-keeping purposes;
  • your interview will not be published publicly or used for advertising without your separate permission.

Please avoid including unnecessary sensitive personal information in your answers.


6. Sensitive Personal Information

We do not intentionally request sensitive personal information during preliminary interviews unless it is necessary for a lawful recruitment purpose.

Please do not include information about your health, religion, political opinions, caste, precise personal location, financial details, government ID numbers, family issues, or other sensitive personal matters unless specifically requested and directly relevant.

If we receive unnecessary sensitive information, we may disregard it during assessment and may delete it where appropriate.


7. Use of AI, Automated Tools, and Interview Platforms

Animations Media may use digital tools, recruitment systems, spreadsheets, interview platforms, or productivity tools to manage applications and interviews.

Because some roles may involve AI research, prompting, tool testing, digital operations, or workflow improvement, we may assess your understanding of AI tools and your ability to use them responsibly.

We may use tools that assist with:

  • organising applications;
  • scheduling interviews;
  • storing video responses;
  • reviewing candidate answers;
  • recording assessment notes;
  • comparing applications;
  • managing communication.

If a third-party interview platform provides automated scoring, transcription, or analysis features, these may be used only as supporting information. Final recruitment decisions will not be made solely by automated systems without human review.

Employers using AI or automated tools in recruitment should pay attention to data protection, transparency, and oversight obligations.

We do not sell candidate information.

This means your candidate information may be accessed by authorised team members in India, the UK, or other locations where our service providers operate.

Where required by applicable law, we aim to use reasonable safeguards to protect candidate information transferred or accessed internationally.


12. How Long We Keep Candidate Information

We keep candidate information only for as long as reasonably necessary for recruitment, record-keeping, legal, compliance, or business purposes.

As a general guideline:

  • successful candidate information may be retained as part of internship, employment, contractor, or onboarding records;
  • unsuccessful candidate information may be retained for up to 12 months after the recruitment process, unless a longer period is required by law or you give us permission to keep your details for future opportunities;
  • video interview recordings may be deleted earlier if they are no longer required for assessment;
  • assessment notes may be retained for recruitment record purposes;
  • if you ask us to delete your data, we will consider the request according to applicable law and any legitimate reason to retain limited records.

You may contact us if you would like us to delete your candidate information, subject to any legal, compliance, or legitimate business reason to retain it.


13. How We Protect Candidate Information

We take reasonable steps to protect candidate information from unauthorised access, misuse, loss, alteration, or disclosure.

These steps may include:

  • limiting access to authorised team members;
  • using password-protected systems;
  • storing recruitment records securely;
  • using trusted recruitment or interview platforms;

  • deleting or archiving information when no longer needed.

However, no online platform, video interview system, email system, or cloud storage service can be guaranteed to be completely secure.


14. Candidate Responsibilities

When applying or completing an interview, you are responsible for ensuring that:

  • the information you provide is accurate and truthful;
  • you complete the interview yourself;
  • you do not impersonate another person;
  • you do not submit false, copied, misleading, or unauthorised content;
  • you do not share confidential information from previous employers, clients, institutions, or third parties;
  • you do not include unnecessary sensitive personal information;
  • you follow the instructions given for the interview or assessment.

Depending on your location and applicable law, you may have rights regarding your candidate information, including:
